With the advancement
of technology and the need to express clearly
today’s technology is used to its fullest.
Instruments such as projectors, laptops, multimedia
are used in today’s high tech world for
business meetings to explain business plans and
marketing strategies. These instruments do make
our life easier and make meetings easier and no
longer boring but with them come distraction in
various forms. In this paper we will be discussing
some of the major problems and what steps are
necessary to prevent such distractions.
The most distracting which adds the extra confusion
to the audience and should be avoided at all costs
is the illegible image. If a person is including
an image that is not clear enough he / she should
not include it at all. As the more eagled eyed
viewer could take advantage of this while others
are still trying to strain to read what is on
the screen.
The best way to deal with this is the rule of
thumb the “8H” rule. In nut shell
if you can see an image from eight times its height
then the image will be clearly visible from a
projected medium.
All images should be designed so that it pleases
the mind and the viewer. If an image is placed
for no other reason other than it is pretty it
should be removed.
The next deadly sin in visual distraction is
“Chart junk”. This phrase was coined
to recognize confusing elements, which really
have no reason or meaning to be in the presentation.
An example of this would be to have ones logo
in every corner of the transparency. One should
try and use common objects that would add continuity
to the presentations. Instead of putting blaring
logos which detract from the message.
Colors are another important aspect for visual
presentations. One should be conscious of the
image and then apply colors. For example if you
are showing a picture of ice hockey, the colors
of the slide should not be warm unless if the
idea that you want to portray is the warmth of
the stadium. Always try and keep the colors uniformed
in a presentation. A single colored background
works best when the person gives a presentation
wants to show continuity. One can separate broad
sections of the presentation by using different
background colors. However, one should keep all
the changes to a minimum and of the same color
family. Unless the purpose of the presentation
is to shock or grab some attention from the audience.
Using extra big fonts in the presentation is
not a good idea. It gives the audience of a ransom
note view. Try and keep the font uniformed throughout
the presentations. Use the “bold, italic
& underline” function to emphasize key
words or points.
In conclusion to this one’s presentation
should be simple and easy to follow. All care
should be taken to see that graphics are properly
placed and that the proper font should be used
in the full presentation.
